This guide will teach you how to use Asana — CK2's internal communication system — so you can check your tasks, read announcements, leave comments, and look up how to do things.

Asana is not for clients. It's for the CK2 team to talk to each other and keep track of work. Clients never see it.

01 — What Is Asana?

Asana is where team work lives.

Asana is like a shared to-do list for the whole company. Instead of texting, emailing, or asking "Did you finish that?" — everything is tracked in one place.

Every task has one owner, a due date, and a place to leave comments. If someone has a question about a task, they comment on it — not send an email.

The Golden Rule

Canopy = Client work. Documents, billing, client emails.
Asana = Internal work. Team tasks, SOPs, announcements, hiring.
Don't mix them.

Your Login

Go to app.asana.com in your web browser. Sign in with the email and password you were given. You'll see the sidebar on the left side of the screen.

Think of Asana as Three Things
Thing 1
A Company To-Do List
Every task is assigned to one person with a due date. You can see what's on your plate for today, this week, and later.
Thing 2
A Communication Board
Instead of emailing about work, you comment directly on the task. The conversation stays with the task — not lost in your inbox.
Thing 3
A Project Tracker
The team's projects — like SOPs, announcements, and hiring — are all organized here. You can check the status of anything, anytime.
02 — Your Screen: The Sidebar

This is your navigation map.

The left side of your screen is the sidebar. These are the only items you need to use every day:

Tip

At the very top is a red + Create button. You probably won't need it — it's for creating new tasks and projects. Be careful not to click it accidentally — it can create a blank task.

Under "Projects" in the sidebar, you'll see the CK2 project list. Here are the ones that matter most to you:

03 — My Tasks: Your Daily List

This is where your day starts.

Click "My tasks" in the sidebar (the checkmark icon). This page shows every task assigned to you, grouped into sections:

← Click the circle to mark it complete

Each row shows the task name, due date, and which project it belongs to. To complete a task, click the circle on the left side — it turns into a checkmark.

How to Open a Task

Hover over any task and you'll see a small "Details" arrow on the right side. Click it — the task opens in a panel on the right side of your screen. That's where you read the full description and leave comments.

04 — How to Leave a Comment

This is how you talk to the team.

When you open a task (by clicking "Details"), you'll see a panel on the right. Scroll down — at the bottom is the comment box.

Open the task by hovering over it and clicking the Details arrow (small ">" icon on the right side of the row).

Scroll down in the panel. You'll see a box that says "Add a comment".

Click the box and start typing your message.

To tag someone so they get notified, type the @ symbol and then start typing their name. A dropdown list will appear — click their name.

When you're done, click the blue "Comment" button to post it.
Example

You want to tell Keith a candidate called back:
Open the candidate's task → type in the comment box: "@Keith Carney — this candidate called back today asking about the timeline. She sounded very interested." → click Comment.

What You'll See in the Panel
Assignee: CK 2 Admin (or a team member's name)
Due date: the deadline for this task
Projects: which project this task belongs to
Description
"What is this task about?"
Comments
Add a comment
Type your message here → click "Comment" to post
Top of the Panel — Useful Buttons

Mark complete — finishes the task (checkmark button, top left)
Share — not needed for your role
Close arrow (⇥) — closes the panel

How to Read an Announcement

Click any announcement task to open it. The details appear in a panel on the right. Read the Description area — that's where the announcement text is. If there are comments below, those are follow-up questions or replies from the team.

Your Role Here

Read — check this project every morning for new items.
Comment — if you have a question about an announcement, comment on it rather than texting or emailing.
Don't post — new announcements come from Keith. You read and respond.

Not for Casual Chat

Asana is for work communication only. Want to say "Happy birthday"? Do it in person or by text. Want to ask about a task or an announcement? Use an Asana comment.

SOPs stands for "Standard Operating Procedures." This project is the firm's instruction manual — how to do things the CK2 way.

How to Use SOPs

1. Open the SOPs & Documentation project
2. Find the right category folder (e.g., "Client Operations")
3. Click the folder to see its SOPs listed as subtasks
4. Click any SOP to read the procedure in the description
5. Only follow SOPs tagged Approved

Can't Find What You Need?

Use the search bar at the top of Asana. Type a keyword — like "call script" or "notary" — and Asana will show you matching tasks across all projects.

07 — Inbox: Your Notifications

This is how you know something needs you.

Click the bell icon in the sidebar to open your Inbox. This is where Asana tells you when:

  • Someone assigns you a task
  • Someone @mentions you in a comment
  • Someone comments on a task you follow
  • A task gets completed that you're part of
Inbox Tabs

Your Inbox has tabs across the top: Activity (the main feed — start here), Bookmarks (items you saved), Archive (old items), and @Mentioned (only the times someone tagged you).

How to Use Your Inbox

Click the bell icon (Inbox) in the sidebar. If there's a red dot on the bell, you have new notifications.

Read through the Activity tab. Each item tells you what happened and in which project.

If you need to respond, click the notification — it will take you to the task where you can leave a comment.

To see only your @mentions, click the @Mentioned tab. This filters to just the times someone specifically called your name.
Tip

Check your Inbox once in the morning and once before you leave. You don't need to watch it all day — just make sure you don't miss anything assigned to you or any questions from the team.

08 — Your Daily Routine

Five minutes. Every day.

Do's and Don'ts
✓ DO — Comment on the task
Have a question? Type it in the comment box on the task. Use @Name to tag someone.
✓ DO — Check off completed tasks
Click the circle when you finish something. The team can see it's done.
✓ DO — Use SOPs when you're unsure
Don't know how to do something? Look it up in SOPs & Documentation first.
✓ DO — Check Inbox for new assignments
If the bell has a red dot, someone needs you. Check it.
✕ DON'T — Email about a task
If you can comment on the task in Asana, do that instead. Context stays with the work.
✕ DON'T — Use Asana for casual chat
"Happy Friday!" goes in person or by text. Asana is for work.
✕ DON'T — Create tasks unless asked to
Be careful with the "+ Create" button and the "+ Add task" rows. Let Keith or Ty handle task creation for now.

How to Do Common Things
Complete a task
Click the circle on the left side of the task name
Leave a comment
Open task → scroll down → "Add a comment" → type → click blue Comment button
Tag someone
In a comment, type @ then their name → click their name from the dropdown
Find a task
Use the search bar at the top — type any keyword
See a project
Click Projects in the sidebar → pick the project
Check notifications
Click the bell icon (Inbox) in the sidebar
Look up an SOP
Projects → SOPs & Documentation → open the right category folder

Don't mix them. That's it. Two systems. Total clarity.

Asana is simpler than it looks. Three minutes in the morning, two minutes before you leave. Check your tasks, read announcements, and comment instead of emailing. That's the whole job. You're going to do great.
