Everything in this guide uses the exact words that appear on the buttons and menus. If this guide says "click Clients," that's what the button actually says.

01 — What Is Canopy?

Canopy is where client work lives.

Canopy is the system CK2 uses to manage everything that touches a client — their documents, their engagement letters, their billing, and their communication with us.

Think of it like the firm's filing cabinet, pricing menu, and client inbox — all in one place on the computer.

Your Login

Go to canopy.com in your web browser and sign in with the email and password Keith or Ty gave you. Once you're in, you'll see the left sidebar with icons.

The Golden Rule

Canopy = Client work. Everything that touches a client's file, documents, billing, or communication lives in Canopy.

Asana = Internal work. Team tasks, announcements, SOPs, and internal communication live in Asana.

Don't mix them.

Always confirm current pricing with Keith before quoting a specific dollar amount to a client. Prices can change. When a caller asks "How much?", give the package overview and say: "Let me confirm the current rate and have someone follow up with you." Never guess.

How to handle the most common calls.

The right one depends on your tax situation. Can I get your name and number so one of our accountants can walk you through the options?"
Call Type 2: "What do I need to send you?"
Caller
"I'm a new client. What documents do I need to send?"

"Great question! Once you're set up, we'll send you a secure link where you can upload everything — you won't even need a password. The list depends on your situation, but generally we'll need your W-2s, any 1099s, your prior year tax return, and a photo ID. We'll send you a complete checklist so nothing gets missed."
Call Type 3: "I got a notice from the IRS."

"I'm sorry to hear that — but you've called the right place. We have a team that handles IRS notices every day. Can I get your name and a good callback number? Rules for Every Call

1. Never guess a price. Give the package overview, then hand off to Keith or the team.
2. Always get their name and phone number. Every caller is a potential client.
3. Be warm. You're great with people — that's your superpower. The pricing details are backup, not the main event.

07 — Finding a Client in Canopy

How to look up a client.

When a client calls and you need to check their account, here's how to find them:

Click the people icon in the left sidebar. The tooltip says "Clients."

You'll see a list of all clients. At the top, there's a search box that says "Search clients..."

Type the client's name (first or last name works). The list will filter as you type.

Click on the client's name to open their record. You'll see tabs across the top of their page.
Tip

If a caller says "I'm already a client," look them up in Clients. If they're new, take their name and number and let Keith know.

When you open a client, you'll see these tabs across the top. You don't need to use all of them — just know what they are.

Shows what service package the client signed up for (Good/Better/Best). If it says "No Engagements," they haven't signed yet.

Email threads with the client, inside Canopy.

When they ask, "What do I need to send?"

CK2 has 8 document checklists built in Canopy. You don't need to send these yourself — the team will. But you should know they exist so you can reassure callers.

How Clients Upload Documents

Clients get a secure link from CK2 — they click it, upload their files, and they're done. No login or password needed. Every file they upload is automatically renamed and sorted by Canopy's AI.

What Most Individual Clients Need

• W-2 from every employer
• Any 1099 forms (interest, dividends, retirement, freelance)
• Prior year tax return (federal & state)
• Photo ID (driver's license or passport)
• Social Security cards for everyone in the household
